8. Missing Sessions and Cancellations
If I Cancel a Group Session:
If I need to cancel, I’ll schedule a makeup session when most people can attend. If you can’t make it, I’ll send you a recording.
If You Miss a Session:
If you miss a session, you won’t get a refund or personal makeup session. I’ll send you the recording when possible.
If You Want to Cancel the Whole Program:
Cancel 14+ days before we start: Full refund minus $[AMOUNT] fee
Cancel 7-13 days before we start: You get 50% back
Cancel 0-6 days before we start: No refund
Cancel after we’ve started: No refund
If I Cancel the Whole Program:
If I cancel before we start, you get all your money back. If I cancel after we’ve started, you get back money for the sessions we haven’t had yet.
9. Getting Your Money Back
You can ask for your money back within [NUMBER] days of our first session if you’re not happy with the program. After that time, no refunds.
To get a refund, you need to email me and explain why you want your money back.
I can say no to refund requests that don’t follow these rules.
10. Online Group Rules
If our program includes an online group, these rules apply:
Only use the group for things related to our program

Be nice and supportive to other members

I can remove you from the group if you break these rules
11. Recording Sessions

I’ll only share recordings with people in the program. I won’t use them for marketing without getting permission from everyone first.
You are NOT allowed to record sessions or take screenshots unless everyone agrees to it in writing beforehand.
12. Ownership of Materials
All workbooks, handouts, recordings, and other materials I give you belong to me and are protected by copyright law.
You can use these materials for yourself, but you can’t:
Share them with people not in the program
Copy or sell them
Use them to create your own coaching program
Post them online without my permission
13. Working Relationship
I’m an independent contractor, not your employee. I’m also not your therapist, doctor, lawyer, or financial advisor.
14. Not Responsible for Results
Coaching isn’t therapy or medical treatment. I’m not responsible for decisions you make based on our coaching sessions.
You’re fully responsible for your own well-being during this program, including all your choices and actions.
I can’t guarantee any specific results. How much you benefit depends on many things, including how much effort you put in.
You agree that you’re using my services at your own risk. I won’t be responsible for any damages or problems that might happen as a result of this program.
15. Your Responsibilities
You agree to:

Complete the homework we agree on
Tell me what’s working and what isn’t
Let me know if you’re working with other coaches
Tell me about any issues that might affect our coaching
Come to sessions ready to learn and participate

16. Ending This Agreement
If I Want to End It:
I can end this agreement if:
You don’t pay on time
You repeatedly break the rules in this agreement
I believe coaching isn’t helping you
I think you need a different kind of help
If You Want to End It:
You can end this agreement anytime by telling me in writing. You won’t get a refund if the program has already started.
How to End It:
Whoever wants to end the agreement needs to tell the other person in writing at least [NUMBER] days beforehand. You still need to pay for any sessions you’ve had up to that point.
17. Solving Disagreements
If we have a disagreement about this agreement, we’ll try to solve it by talking to each other first. If that doesn’t work, we’ll try mediation before going to court.

Whoever wins a legal dispute can get their lawyer fees paid back.
18. Other Legal Stuff
Complete Agreement:

15. Not Promising Miracles

7. Safety First
Your safety is most important. This means:
If you have thoughts of harming yourself or others, you must tell a mental health professional right away
Call your local crisis line or 988 (US Suicide & Crisis Lifeline) for immediate help
Go to your local emergency room if you’re in danger
I will provide a list of emergency resources at our first session
I may need to contact emergency services if I believe you’re in immediate danger
8. Keeping Things Private
What happens in our group stays in our group. This means:
I won’t share what anyone says with people outside the group
You agree not to share what other group members talk about
You can share your own experiences, but not others’ stories
I MUST break privacy if:
I believe someone might hurt themselves or others
I learn about abuse of a child, elderly, or disabled person
A court orders me to share information
You give written permission to share something specific
9. How Long This Group Runs
Start and End:

11. Attending Sessions

12. Getting Your Money Back

14. Session Recordings
Our group sessions will be recorded so members can watch again or catch up if they miss a session. By signing this agreement, you agree to being recorded.
These recordings are only for group members. You cannot:
Share them with anyone else
Post them online
Use them after the program ends
15. Talking About Difficult Stuff
Mental wellness discussions might bring up:
Strong emotions
Painful memories
Awareness of unhealthy patterns
If this happens:
You can step back or take a break anytime
Let me know privately if you’re struggling

16. Taking Care of Yourself

17. No Guaranteed Results
I cannot and do not promise specific mental wellness results. Your results depend on:
Your starting point
How consistently you practice the skills
Your life circumstances
Whether you’re also getting professional help if needed
Many factors outside anyone’s control
This program gives you tools and support, but mental wellness is a personal journey that takes time.
18. Not Mental Health Treatment
This group program is NOT:
Therapy or counseling
A treatment for mental illness
A crisis intervention service
A substitute for medication or medical care
A replacement for professional mental health treatment
19. Referrals to Professionals
I might suggest you talk to a mental health professional if:
Your challenges seem beyond what coaching can help
You share thoughts of harming yourself or others
You’re experiencing symptoms that need medical attention
You could benefit from more intensive support
I believe therapy would complement our coaching work

20. Group Behavior Rules
Everyone in the group agrees to:
Treat others with respect and kindness
Listen without judging
Offer support, not advice unless asked

Not try to “fix” other people

21. Materials You Receive
Any worksheets, exercises, or tools I give the group belong to me. You can use them for your own mental wellness, but you can’t:
Share them with people outside the group
Sell them or pass them off as your own work
Use them to create your own coaching program

What Is a Group Coaching Contract?
A group coaching contract is a legal document between you and your clients who join your group coaching program. It outlines the coaching services provided and what clients can expect.
This agreement forms the foundation of your coaching relationship with each group coaching program participant. It protects both you and your clients from misunderstandings.

Program Details
Your group coaching program overview should explain exactly what clients will receive. This includes the number and length of group coaching sessions.
Be specific about what happens when attending group coaching sessions. Will you record them? Will there be homework?
Outline the coaching process and what makes up the full group coaching experience. This sets proper expectations from the start.
Roles and Responsibilities
Make it clear that implementing coach’s suggestions is exclusively client’s responsibility. Results depend on their actions, not just your guidance.
The client has full and complete responsibility for their decisions and outcomes. Your role is to guide, not to guarantee results.
State that the client is solely responsible for their emotional well being throughout the coaching program. This removes any suggestion that you’re providing mental health support.
Professional Boundaries
Clarify that you do not provide therapy or treat mental disorders as defined by the American Psychiatric Association. This is critical legal protection.
Explicitly state that you are not a mental health professional or mental health care provider. If a client needs such independent professional guidance, they should seek it elsewhere.
Mention that coaching is not a substitute for medical or psychological advice, substance abuse treatment, or other professional advice. This prevents clients from relying on coaching for issues beyond its scope.
Confidentiality Terms
Explain how privacy works differently in a group setting versus an individual or group setting. Multiple people will hear what’s shared.
State that while you’ll maintain confidentiality, you cannot control other party’s confidential information shared by group members. Each group coaching client present has a responsibility to maintain privacy.
Include exceptions where you might break confidentiality, such as if a client discloses illegal activity or harm to themselves or others. These are legally required exceptions.
Payment and Cancellation
Clearly state your coaching fees and what happens with missed appointments. Be specific about the coaching fee stated in your agreement.
