If you are currently dealing with:

You should be working with a licensed mental health professional IN ADDITION to this group, or you may not be right for this program.

7. Safety First

  4. I will provide a list of emergency resources at our first session

  1. I won’t share what anyone says with people outside the group

  2. You agree not to share what other group members talk about

  3. You can share your own experiences, but not others’ stories

I MUST break privacy if:

  1. I believe someone might hurt themselves or others

  5. No trying to “fix” other members’ problems

  6. Keep everything shared there private

  7. I can remove posts or people that break these rules

14. Session Recordings

Our group sessions will be recorded so members can watch again or catch up if they miss a session. By signing this agreement, you agree to being recorded.

These recordings are only for group members. You cannot:

  1. Share them with anyone else

  2. Post them online

  3. Use them after the program ends

15. Talking About Difficult Stuff

Mental wellness discussions might bring up:

17. No Guaranteed Results

I cannot and do not promise specific mental wellness results. Your results depend on:

  1. Your starting point

  2. How consistently you practice the skills

  3. Your life circumstances

  4. Whether you’re also getting professional help if needed

  5. Many factors outside anyone’s control

This program gives you tools and support, but mental wellness is a personal journey that takes time.

18. Not Mental Health Treatment

This group program is NOT:

  1. Therapy or counseling

  2. A treatment for mental illness

  3. A crisis intervention service

  4. A substitute for medication or medical care

  5. A replacement for professional mental health treatment

19. Referrals to Professionals

I might suggest you talk to a mental health professional if:

  1. Your challenges seem beyond what coaching can help

  2. You share thoughts of harming yourself or others

  3. You’re experiencing symptoms that need medical attention

  4. You could benefit from more intensive support

  5. I believe therapy would complement our coaching work

This is not a judgment – it’s about getting you the right kind of help.

20. Group Behavior Rules

Everyone in the group agrees to:

  1. Treat others with respect and kindness

  2. Listen without judging

  3. Offer support, not advice unless asked

What Is a Group Coaching Contract?

A group coaching contract is a legal document between you and your clients who join your group coaching program. It outlines the coaching services provided and what clients can expect.

This agreement forms the foundation of your coaching relationship with each group coaching program participant. It protects both you and your clients from misunderstandings.

Your contract should make it clear that you’re offering coaching, not therapy or mental health care. This distinction matters for legal protection and client expectations.

Key Parts of Your Group Coaching Agreement/Contract

Program Details

Your group coaching program overview should explain exactly what clients will receive. This includes the number and length of group coaching sessions.

Be specific about what happens when attending group coaching sessions. Will you record them? Will there be homework?

Outline the coaching process and what makes up the full group coaching experience. This sets proper expectations from the start.

Roles and Responsibilities

Make it clear that implementing coach’s suggestions is exclusively client’s responsibility. Results depend on their actions, not just your guidance.

The client has full and complete responsibility for their decisions and outcomes. Your role is to guide, not to guarantee results.

State that the client is solely responsible for their emotional well being throughout the coaching program. This removes any suggestion that you’re providing mental health support.

Professional Boundaries

Clarify that you do not provide therapy or treat mental disorders as defined by the American Psychiatric Association. This is critical legal protection.

Explicitly state that you are not a mental health professional or mental health care provider. If a client needs such independent professional guidance, they should seek it elsewhere.

Mention that coaching is not a substitute for medical or psychological advice, substance abuse treatment, or other professional advice. This prevents clients from relying on coaching for issues beyond its scope.

Confidentiality Terms

Explain how privacy works differently in a group setting versus an individual or group setting. Multiple people will hear what’s shared.

State that while you’ll maintain confidentiality, you cannot control other party’s confidential information shared by group members. Each group coaching client present has a responsibility to maintain privacy.

Include exceptions where you might break confidentiality, such as if a client discloses illegal activity or harm to themselves or others. These are legally required exceptions.

Payment and Cancellation

Clearly state your coaching fees and what happens with missed appointments. Be specific about the coaching fee stated in your agreement.

Outline what happens if coach requests rescheduling or if the client needs to cancel. Having clear terms prevents disputes.

Include information about refunds and what happens if either party needs to end the coaching engagement early. This protects both sides.

Legal Protections

Specify that you are neither an employee nor in an attorney client relationship with participants. You maintain independent contractor status at all times.

Include language about reasonable attorney fees incurred by the prevailing party in any dispute. This discourages frivolous legal actions.

Make it clear that clients need coach express permission before recording or sharing content from sessions. Also protect such intellectual property and respective owners prior work.

Sample Contract Language

Here’s how some important sections might look in your group coaching contract template:

Scope of Services Section

SCOPE OF SERVICES

Coach agrees to provide group coaching services as part of a comprehensive process to assist client in reaching their goals. Coach will facilitate individual and group exercises designed to promote growth and development. Client understands that coach does not provide therapy or treat psychological or medical conditions. If client wishes to receive mental health care, they should consult a licensed provider.

Client Responsibilities Section

CLIENT RESPONSIBILITIES

Client acknowledges and accepts full and complete responsibility for their own decisions, actions, and results. Implementing coach's suggestions is the client's exclusive responsibility. Client agrees to communicate honestly during the coaching relationship and take ownership of their emotional well being throughout the program.

Termination Section

TERMINATION

Either party may terminate this group coaching agreement with [X] days written notice to the coach prior to the next scheduled session. Termination may also occur due to other party's material breach of this agreement. Client prior payments may be refundable according to the refund policy stated below.

Intellectual Property Section

INTELLECTUAL PROPERTY

All materials provided during group coaching sessions remain the property of the coach or respective owners prior to sharing. Client may not reproduce or distribute such intellectual property without prior written consent from the coach. Other party's confidential information and materials must be respected at all times.

Making Your Contract Work for You

Have clients review the group coaching agreement carefully before signing. This ensures they understand what they’re agreeing to.

Create a simple process for signatures that works for both in-person and virtual coaching. Electronic signature services make this easy.

Consider having your contract reviewed by a legal professional familiar with the International Coach Federation guidelines. This adds extra credibility to your practice.

Setting Client Expectations

Clearly explain that coaching results are the direct or indirect result of client actions. Your role is to guide, not guarantee outcomes.

Let clients know that you’re there to support their growth but not to manage their mental and financial health. These remain the client’s responsibility.

If a client needs services you don’t provide, be ready to refer them to appropriate resources. Know which mental health professional or other providers in your area you can recommend.

Legal Considerations to Remember

Make it clear that coach provide therapy is not part of your services. This distinction protects you legally.

Include language stating that confidential information shared in sessions should remain private. However, acknowledge the limits in a group context.

confidentiality is important in coaching

Specify that clients need prior written consent before sharing any materials from your program. This protects your intellectual property.

Handling Specific Situations

Address what happens if a client enters the program with undisclosed psychological or medical conditions. This protects both parties.

Include provisions for what happens if coach requests changes to the schedule or format. Flexibility is important, but needs clear parameters.

Outline the process for handling situations where someone becomes disruptive during group sessions. Having this in writing makes difficult conversations easier.

Final Tips for Your Contract

Update your contract regularly as your services evolve. An outdated agreement may not provide adequate protection.

Use language that’s professional but not overly complex. Your group coaching contract template should be understandable to the average person.

Your contract sets the tone for your coaching relationship. It should feel professional and supportive, not intimidating.
